Converting to Microsoft Outlook

Introduction:

This Quicknote is written as a tool to assist UM-Flint Students with instructions for converting to Microsoft Outlook.  It explains how to convert Pegasus mail messages and address books to Outlook.  It also includes how to forward your email from Pegasus to Outlook.

How to Convert Mail Messages from Pegasus Mail: 

1. Access Pegasus Mail

First you need to create an IMAP profile that will connect to your Outlook account.  You will only need to create the IMAP profile the first time, after that you will just need to connect to the IMAP profile by following steps 2 and 4.

2. Go to the Tools menu, then IMAP profiles 

3. Click the New button, to create the IMAP profile.

For Profile name, Enter your uniqname

For IMAP Server address, Enter smb1.umflint.edu

For Login name, Enter your uniqname and for the password, Enter you Outlook password and click Ok.

4. To connect to the IMAP profile, highlight your uniqname, click the Connect button and click the Done button to close the box.

5. Now you should look at your folders in Pegasus Mail, go to the File menu then Mail Folders.  In the folder windows, you should see My mailbox along with all your Pegasus folders, then your uniqname with a list of your Outlook folders (Calendar, contacts, etc.).

How to Copy Mail Messages (Stored on the Server) to Your Outlook Account

  1. Select any Pegasus Mail folder that you want to convert, click it once to highlight the folder, and then click the Open button from the Folders toolbar.
  2. Assuming you want to convert all of the messages in that folder, you need to select them, by going to the Edit menu, then select all
  3. Now click the Copy button from the folder toolbar.
  4. When it brings up the Select a mail folder window, Highlight your uniqname (below your list of Pegasus folders) and click the New button from the Select a mail folder toolbar.
  5. Enter a folder name for this new folder and click OK.
  6. Now, double-click on the folder you have just created to transfer the message to that folder.
  7. As messages copy into the new folder, you will see a red exclamation mark (!) icon in the lower right corner of the Pegasus screen. 

**Note: You must wait for the ! to clear before proceeding to another operation.

8.      Repeat the steps until you have copied all of your messages in all of your folders.

  1. Login to Outlook to verify that your converted folders are present and contain all of your message.

**Note: your converted messages will appear as unread mail in Outlook.  To mark them as read, right-click on the mail folder and select Mark All as Read.

  1. Delete your Pegasus folders after you have verified that the transfer is complete.

How to Convert Address Books from Pegasus Mail:

Pegasus Mail address books can be exported to a temporary file and that file can be imported into Microsoft Outlook to be used as a contact list.

To Export From Pegasus Mail

  1. Access Pegasus Mail
  2. Press <F3> to view your address book, then open the one you wish to convert.  Highlight all the contacts.
  3. Choose Addressbook from the menu, then click Export to Tab-delimited file.
  4. Name the file NAME.TXT to save the file as a text file (where NAME is the name of your address book) and Click Save.
  5. Close address book and close Pegasus.
  6. Open Excel
  7. Go to File menu, then Open, change the Files of Type: to All files and locate the file that you save in step 4. Click Open.
  8. Text Import Wizard will open.  Step 1 of 3, click Next.  Step 2 of 3, click Next.  step 3 of 3, click Finish.
  9. Edit cells
  10. Go to File menu, then Exit,  Do you want to save changes? click Yes.
  11. When the Save As windows appears, click Save. Click Yes twice to exit.

 

To Import into Outlook

1.      Open Outlook 

2.      Go to the File menu, and choose New, then Folder.

3.      Name the folder and then choose Contact Items in the Folder Contains drop-down box and click OK.

**Note: You may be prompted to add a shortcut to this folder to your Outlook Bar. Click Yes to add an icon for this contact folder to your Outlook Shortcuts.

4.      Go to the File menu and choose Import and Export

5.      The Import and Export Wizard will open.  Choose Import from another program or file, then click Next.

6.      Choose Tab Separated Values (Windows) as the file type, then click Next

**Note: you may be prompted to install this feature.  Click OK to continue.

7.      Click Browse to find the file you just exported from Pegasus.  Double-click the file to select it and click Next.

8.      Click the Folder you created in step 2 as your destination folder, then click Next.

9.      Click the checkbox to set up the import to Outlook.

10.  Drag the fields from the left side Values box to the right side To: box, then click OK.

How to Forward Pegasus Mail Messages:

Once you start using Outlook, you are going to want your mail to be delivered to your Outlook account.  Here are instructions on how to forward your Pegasus Mail account to your Outlook account using the Autoforward option in Pegasus mail. 

1.  Open Pegasus Mail.

2.  Go to the Tools menu, then choose Options.

3.  Click the Extended tab. 

**Note:  If you do not have an Extended tab, please contact the Helpdesk for assistance with this feature. 

4.  Enter the full email address you would like your messages forwarded to in BOTH of the forwarding fields.  Click OK. 

**Note: With your new Outlook account you have a new email address.  Your address will be uniqname@umflint.edu

**Note:  If you need to disable autoforwarding, repeat steps 1 through 3, erase the autoforwarding addresses, and click OK.

5.  Close Pegasus Mail.
