How to Use Microsoft Office Live Communicator |

Introduction:This Quicknote is written as a tool to assist University of Michigan-Flint users to use Microsoft Office Communicator. With Office Communicator you can send instant messages as well as use other tools with other Communicator users logged into the network. Live Communicator is an instant messaging program that you can use to: · View your contacts that are online. · Send an instant message. · Call a contact's computer.

1. On-Campus to install Live Communicator, open the ITS Recommended Software folder located at L:\ITS Recommended Applications
2. Open the Office Live Communicator folder.
3. Then double-click on the communicator icon to start installing Live Communicator.
4. Click Yes on the prompt to install.
5. Click Next to advance through the wizard.
Click the
Live Communicator
icon in
the status area of the taskbar. Or go to the
Start
Menu,
All Programs,
and then click on Microsoft
Office Communicator

1. Click the Gray sign in button in the Communicator window.
2. Type in your umflint email address in the prompt and click Ok.
3. Your account will now be logged into the Communicator.
Create a Contact List:
Add a Contact

1. Click the Contacts Menu and select Add Contact.
2. The Add a Contact wizard will open. Click By
e-mail address or sign-in name and click Next.
3. In the Address field, type in the person’s
Exchange Email Address and click Next.
4. To add another contact click Next, otherwise
click Finish.
Create a New Group in your Contacts
1. On the Contacts menu, click Create New Group.
2. In the Contacts list, type the name of the new group over the highlighted New Group text.
Moving a Contact to another Group
In your Contacts, right-click the contact that you want to move, and then click Move Contact To. You can also drag a contact from one group and drop it in another group.
Removing a Contact From a Group
1. In the Microsoft Office Communicator window, under Contacts, click the arrow to the right of the contact name.
2. Click Remove from Group.
How to Send and Receive Files:
Send a File
Choose the contact to whom you want to send the file by using one of the following methods:
1. Right-click the name of an online contact and click
then click More
2. On the menu select send a file.
3. On the Send a File to screen, navigate to the file to be
sent, click the file that you want to send.
4. Then click Open.
Receive a File
1. When someone starts to send you a file, you receive a notice such as:
Jim would like to send you the file “Picture1.jpg”. Transfer time is less than 1 minute with a 28.8
modem. Do you want to Accept (Alt+T) or Decline (Alt+D) the invitation?
2. Click Accept. You will receive a warning notice that some files may contain harmful viruses or scripts. If
you trust the source, click OK.
3. When the transfer is complete, you will receive a notice such as:
You have successfully received C:\Picture1.jpg from Jim. Before opening this file, you may want to scan it with a virus–
scanning program. You can click on the link to open the file. Or browse to the folder and scan the file before
opening it.

How to Let Others Know That You Are Not Available: 1. In the Office Communicator window, click on Your Name 2. Then click the item that best describes your status.
You continue to receive instant messages, if you choose Busy, the message window does not flash, and you do not hear the message-notification sound. -or- 1. Click the Windows Messenger icon in the status area of the taskbar 2. Point to My Status, and click the item that best describes your status. **Note: You are marked as Away while your screen saver is running.

How to Send an E-mail Message to a Contact:
1. Select the Actions menu.
2. Select Send Email.
3. A new window will appear with a list of your contacts. Select the contact or contacts you would like the email to be sent to and select Ok.
4. Outlook will now open a new message to be sent to the selected contacts.
How to share an Application1. In your contact list, right click the appropriate contact and select More. 2. In the next window select Start Sharing. 3. In the IM window that opens select Application Sharing. 4. The next window will show all the applications you currently have open, select the application you would like to share and select Share to the right. 5. The contact can now see the application you are sharing.

1. 1. In your contact list, right click the appropriate contact and select More.
2. In the next window select Start a Video Conference.
3. If this is the first time you have run this a wizard may start to configure your webcam and microphone, if it does follow the steps in the wizard. If the wizard does not start proceed to step 4.
4. The video conference window will open and your contact will have to accept the invitation. After they have accepted the invite you may now speak or type to the contact.
1. Start an instant message with a contact.
2. In the instant message window select the application
sharing icon at the top.

3. The bottom of the window will now show a Whiteboard icon.
4. Click the Whiteboard icon and the Whiteboard program will now start.
5. All contacts in the conversation may now use Whiteboard to draw pictures or diagrams for everyone in the conversation to see.

1. Type in your full email address in the username box: uniqname@umflint.edu
2. (If Off Campus) Type your LAN password in the password field.
3. Select your sign in status in the Sign-in as: field. Online would be the recommended selection but any selection may be used.

Installing Microsoft Messenger 5.1.1 for Mac OS X
1. Download Messenger511.dmg from Mactopia. Upon download, the file should automatically open and reveal a window that looks like this:
If the window does not appear automatically, then locate the downloaded file, Messenger500.dmg and double-click to begin installation.
2. Drag the Microsoft Messenger icon to your Applications folder to install the program.
3. Once Microsoft Messenger has finished copying to Applications, drag the Microsoft Messenger icon to the trash. Now drag the Messenger500.dmg file to the trash.
4. Locate the Microsoft Messenger program that you copied to Applications in Step 2 above. Double-click to launch the program.
5. You may review the information on the Setup Assistant Welcome screen and then click Next to continue.
6. You may review the Terms Of Use and then click Next to continue.
Click on Accept to agree to the terms of use.
7. The Setup Assistant will now search for previous versions of Microsoft Messenger and will present you with the option to remove any if found. It is recommended to remove if given that option. Click Next to continue.

For Account Selection, click the box next to
Corporate Account and click Next to continue.
9. Enter your E-mail address, User ID and Password as shown. Your email address is your UMFlint email address in the format of uniqname@umflint.edu . Your User ID is in the format of flint-nt\uniqname where username is your email login name. Password is your Marquette email password. You may optionally check the box to have Microsoft Messenger remember your password for you. Click Next to continue.

Review the items on the next screen. It is
recommended to leave the options for placing Messenger in the Dock and starting
Messenger when you start your computer selected. This will make for easy
launching when you wish to use the application. Click Finish to
continue.
14. You may now click the Sign In button to log into UMFlint's Live Communications Server and begin collaborating with your colleagues.
Installation and configuration are now complete.
