Publication Requirements
AFFIRMATIVE ACTION AND AMERICANS WITH DISABILITIES ACT STATEMENTS
The University, along with other organizations that receive federal funds, is required to print Affirmative Action and Americans with Disabilities Act (ADA) statements on certain materials. The regulations apply to “recruitment materials or publications containing general information that (the organization) makes available to participants, beneficiaries, applicants, or employees.” Affirmative Action and ADA statements must be included in those materials or publications. The U-M General Counsel requires that the following publications contain these statements:
· Bulletins
· Catalogs
· Academic program announcements
· Application forms
· Materials used to recruit employees
It is also recommended that publications given broad distribution, such as faculty and alumni news publications, carry these statements or an abbreviated version.
The Standard Practice Guide provision on non-discrimination (SPG 201.35) has been updated to include gender identity and gender expression. As you develop new print and web-based publications, please begin using the updated language below. You do not need to discard any current publications.
The updated language also is available on the Communicators Forum website and on the website of the Office of Institutional Equity.

PREPARATION CHECKLIST
In planning your external message and its medium, please address the following:
- Does the UM-Flint logo appear on a cover of the document?
- Does the intended mailing meet the U.S. postal regulations? Call John Haley in the Mailroom at 762-3141
- Has the content been thoroughly reviewed by more than one person for grammar, style, and accuracy of content?
- Is the Board of Regents list included if appropriate?
- Is the UM-Flint Executive Officers list included if appropriate?
- Has University Relations reviewed the manuscript, mock-up, video or audio version of your message before distribution?
- Have you calculated production, printing, review time into your preparation schedule to meet your distribution deadline?
Send materials for review to University Relations, 500 NBC, at least two weeks prior to schedule printing. It is important to allow sufficient time for review and modifications if necessary.
