Creating a Workflow

What is a Workflow?

A workflow is a series of forms.  If you have a many forms that you want users to complete for an event, you can now create a workflow to ensure that they fill out all forms.  For example: you have two forms that users who want to attend an orientation should complete.  Create a workflow that includes both of the forms and users will be guided to the second one after completing the first.  Users will not see the "thank  you" screen until they have completed all forms in the series.

How to Create a Workflow

**Please note: These directions assume you have already created all forms that you wish to include in the workflow.  See "Creating/Modifying Forms" for more details on how to create a form.

To create a workflow follow the steps below once you are logged in to FormAssembly:

  1. Click on the "Workflows" tab, shown in the image below.
  2. If you have previously created a workflow it will be listed on the left side of the screen.   Click on "Create a New Workflow".
  3. You must enter a name for the Workflow.  Enter the URL for your confirmation/thank you page.  If you do not enter a URL for the "Thank you" page the user will be taken to the default "Acknowledgment" page.  Under Steps repeat these directions as many times as necessary to add all forms to the workflow:
    • Select the form from the drop down menu.
    • Enter any Parameters - Parameters can be used to pass information between forms.  This feature is recommended for use only by advanced users.  For ore details on passing parameters please refer to the FormAssembly documentation for Workflows.
    • Click on "Add another step" (outlined in red in the image below) to add another form to the workflow (if necessary).   If you are finished adding steps please click on "Save" (outlined in blue in the image below) and continue to the next step.  If you need to remove a step click on "Remove" next to the Parameters field for that step (outlined in green in the image below)
    • **Add forms to the workflow in the order that you want users to encounter them**.  The forms will be presented in the order listed on the creation page.
  4. You have created your workflow.  It should now be listed on the left.  The "Acknowledgement" option for the invidividual forms will be disabled and the "Thank you" page listed on the Workflow properties will be used instead.
